This Privacy Policy aims to describe the management methods of this Site, concerning the processing of personal data of its users/visitors.
This notice is provided to those who visit the website www.beexact.com, pursuant to Regulation 2016/679/EU (General Data Protection Regulation – hereinafter GDPR), Article 122 of the Personal Data Protection Code. This Privacy Policy only covers the aforementioned site (hereinafter “Site” or “this Site”) and potential related subdomains; it does not cover other websites that may be visited by the user via specific links.
Users/visitors and candidates are invited to read this Privacy Policy carefully before submitting any type of personal information and/or filling out any electronic form on the Site, and using the Site in general.
Personal data processed
This Site may process technical and security data, data entered in forms, communications data and data generated by necessary cookies and cookies selected by the user.
The contact form may request the user’s name, email address, company, telephone number, country, service of interest, message and attachments.
Recruitment applications may involve the processing of professional information relevant to the vacancy and the candidate. BeExact may also use publicly available professional information or contact references provided by the candidate, in accordance with applicable law.

Providing mandatory data is necessary for BeExact to handle the user’s request or candidate’s application. Failure to provide such data may prevent BeExact from responding or processing the application.
Recipients
Personal data may be processed by authorised personnel and by providers of hosting, security, maintenance, email, CRM, cookie management and storage services.
For recruitment purposes, personal data may also be processed by HR personnel, hiring managers, Group companies and providers of recruitment, cloud, testing, video interview and security services.
Where necessary, BeExact may transmit the data to the Group company responsible for the relevant service or country or, in the case of recruitment, the company identified in the vacancy notice or responsible for the relevant country and role.
Transfers outside the EEA
Any processing of personal data outside the European Economic Area shall be carried out in accordance with applicable law.
Retention
Personal data is retained only for as long as necessary for the relevant purpose:
- technical logs: 1 year;
- contact enquiries not followed by a business relationship: 1 year;
- negotiations and contracts: for the duration of the relationship and the subsequent period required by law;
- recruitment applications: for as long as necessary for the recruitment process and any related legal obligations or claims;
- marketing: until consent is withdrawn or the individual objects;

Rights
Requests must be sent to privacy@beexact.com. BeExact may request information necessary to verify the requester’s identity.
Data subjects, including candidates, may request access, rectification, erasure, restriction and, where applicable, portability of their personal data. They may object to processing based on legitimate interests and withdraw consent at any time.
Data subjects may lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the competent supervisory authority in the Member State in which they reside or work.
Automated decision-making and security
BeExact does not use this Site to make decisions based solely on automated processing that produce legal effects concerning a data subject or similarly significantly affect a data subject, unless specific information is provided.
If AI tools are used to screen or assess job applications, the candidate will receive the information required by applicable law.
BeExact implements measures appropriate to the risk to protect personal data against loss, unauthorised access, alteration or disclosure.
